Job Description:

  • Responsibilities Duties include, but are not limited to: Monitors, and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. Oversees the day to day activities of the Advanced Medical Support Assistants (MSAs). Ensures that routine work is carried out timely and accurately and communicates any supervisory problems to the Supervisor. Trains all new and incumbent Advanced MSAs on scheduling, timekeeping, and front desk operations and will back-up any absent Advanced MSA. Ensures No-Shows and Reschedules are processed appropriately. Trains MSA Staff on the use of Progress Notes in CPRS; Gathers and analyzes information from a variety of sources and allocation that affect the daily operation of a multidisciplinary clinic. Assignment. The Lead MSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. Assignments at this level include, but are not limited to: assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between MSA and staff in order to resolve day to day conflicts. For all assignments above the full performance level, the higher level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Experience: 6 months of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position, OR Education : One year above high school GRADE REQUIREMENT TO QUALIFY FOR THIS POSITION AT THE GS-7 : One year of specialized experience that equipped you with the knowledge, skills and abilities to perform successfully the duties of the position. To be creditable the experience must have been equivalent to the GS-6 in Federal service at the Advanced Medical Support Assistant qualification standards level. Examples of specialized experience includes; providing administrative support, managing all clinic stop/encounter/consult report paperwork related to the initiative programs; collection, compilation, tracking of data and statistical information, and report preparation in support of the service; accurately collecting, entering and managing data, both patient and program data. NOTE : Evidence of specialized experience must be supported by detailed documentation on your resume. Also provide work experience information such as hours per week, salary and starting/ending dates of employment (month and year format) to establish one (1) full year of specialized experience. Applicant must also demonstrate the following Skills, Knowledge and Abilities: 1. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. 2. Skilled in communication with individuals in order to obtain the desired effect, ensuring compliance with established policies and regulations. 3. Ability to provide staff development and training. 4. Ability to manage staffing requirements, manage priorities, and coordinate work in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrating an understanding of the impact of incomplete work. 5. Ability to review and monitor data to ensure all reports are completed and accurate. SUBSTITUTING EDUCATION FOR EXPERIENCE : Education for experience not substituted at this grade level. COMBINING EDUCATION AND EXPERIENCE: Education and experience not combined at this grade level. References: VA Handbook 5005/23, Part II, Appendix G45 , MEDICAL SUPPORT ASSISTANT QUALIFICATION STANDARD, dated June 7, 2012. Physical Requirements: The work frequently requires lifting, carrying, filing, and handling of medical records, forms, and supplies. Requires sitting, standing, bending and traveling to a variety of locations with the medical center. Requires daily extended use of computer terminal for processing all phases of daily work.
