Position Summary Information

General Information
The Development Office at James Madison University is accepting applications for a full-time Administrative Assistant for Corporate and Foundation Relations. The Development Office is a unit within University Advancement that is responsible for maximizing philanthropic support of priority program, faculty and student needs. Development Office staff identify and cultivate potential individual, corporate and foundation donors; solicit gifts and private grants; steward those contributions and coordinate fundraising across the institution. The three members of the Development staff who focus on seeking support from corporations, foundations and other organizations make up the Office of Corporate and Foundation Relations (CFR).

The Administrative Assistant for CFR reports to the CFR Directors. Duties are executed according to the policies and procedures of University Advancement and James Madison University.

Duties and Responsibilities

  • Provide administrative support for the Director of CFR including, but not limited to: maintaining calendars, scheduling meetings, assisting with correspondence, and assuming responsibility for projects as assigned. Knowledgeable of activities and programs within CFR, Development Office, and University Advancement.
  • Support CFR in planning events, scheduling space, and working with the University catering services.
  • Assist CFR with planning and executing a successful Madison Trust Program.
  • Proofread, edit and provide content as needed for grant proposals generated by CFR.
  • Assist CFR staff in preparing executive level briefs to support fundraising visits.
  • Support special assignments and periodic duties as needed.
  • Supports on-campus University Advancement events as needed.
  • Provide grants management for the office to include: database management, writing and submitting small grants, providing research on and discovery of new potential funders. Be the lead team member on researching funding opportunities requested by faculty partners. Provide quality
  • assurance and quality control over the data tracked by the office.
  • Perform other duties as requested/required.


    • Previous related experience, preferably in a higher education setting or state agency.
    • Exceptional verbal and written communication skills, including strong critical thinking/analytical skills and organizational skills.
    • Interpersonal skills that demonstrate respect for others, support for department and organizational goals and the ability to work as part of a team.
    • Excellent time-management and detail-orientated skills, and use of effective tracking methods to complete projects.
    • Proficiency in the use of Microsoft Office (Word, Excel, Access, PowerPoint), email, internet and relational databases.
    • Ability to prioritize and manage multiple projects at once.
    • Impeccable customer service skills.

      • High School Diploma with experience in administrative support.

        The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The report includes statistics for the most recent three-year period of reported crimes that have occurred on campus; in certain off-campus buildings or property owned or controlled by JMU or its affiliates; and on public property within or immediately adjacent to and accessible from the campus.

        The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
