Position Summary Information

General Information
The Office of Sponsored Programs - Administrative Services (OSP-AS) at James Madison University is accepting applications for a Grants Specialist to join our pre-award team to assist faculty and staff in locating and administering external funding for research and scholarly and creative pursuits and to steward data associated with those activities. OSP staff members identify appropriate funding agencies; prepare project budgets; perform formatting and accuracy checks; ensure compliance with state, federal, and university regulations; and prepare complex funding applications to a variety of sponsors. This position focuses on financial and technical aspects of the proposal process and is not a grant writing position.

Duties and Responsibilities
Responsibilities include funding opportunity guideline review, project budget development, proposal review and submission, various post-award actions (e.g., budget revisions, no cost extensions, personnel changes, etc.), preparation of certifications, project closeout reports, sub-award preparation and sub-recipient monitoring, correspondence with funding agencies, creation of publications, reports and office newsletters, training delivery and management of the office website. This position requires substantial reading, top-notch analytical skills, precise attention to detail, and creative problem solving. The successful candidate must work independently and closely with faculty and staff members to finalize grant proposal documents and develop a variety of contractual agreements. The successful candidate will become a resource for planning and implementation of increased training and outreach for the office.


  • Proficiency in Microsoft Office Suite of programs including Access is expected. Solid skills with Excel are required.
  • Demonstrated superior oral and written communication skills and commitment to professional level customer service is required.
  • Applicants must possess ability to work autonomously but within a collaborative network of professionals and must be able to prioritize large volumes of work on stringent deadlines.
  • The successful candidate must be self-motivated and have exceptional time-management, problem-resolution, and organizational skills with meticulous attention to detail.
  • Experience and knowledge of federal, state and sponsor rules and regulations related to grants and contracts is desirable.
  • Experience in public speaking or enthusiasm for outreach is desirable.
  • Grants management or university experience is highly preferred.
  • Bachelor's degree is preferred.
  • Certified Research Administrator (CRA) certification and/or Certified Pre-award Research Administrator (CPRA) is preferred or willingness to obtain within 3 years.
  • Experience with JMU systems and processes including, but not limited to, PeopleSoft, Cascade, HRMS, and Payroll is desirable.
